Information we collect

We collect information that you choose to provide when you submit the website enquiry form or contact Cotswold Property Care by email, telephone, WhatsApp or Facebook.

Please do not send health information, identification documents, financial details or other sensitive information unless it is genuinely necessary and we have asked you to provide it.

Enquiry and service information
Your name, email address, telephone number, the service you are interested in, your message and any information you provide in later correspondence, photographs, appointments, quotations or service records.
Technical information
The website and its hosting services may process an IP address, request time, browser or device information, referring page, request identifier and delivery or error information needed to provide, protect and troubleshoot the service. The website application does not store enquiry content in a database and does not write the full enquiry message to its operational log.

How and why we use information

We do not sell personal information, use it for unrelated advertising or make decisions about people solely by automated means.

Enquiries, quotations and services
Information is used to understand and respond to your enquiry, discuss the requested work, arrange a visit, prepare a quotation and, if you proceed, provide and administer the service. The lawful basis is taking steps at your request before entering into a contract and performing a contract with you. Records may also be used where necessary to establish, exercise or defend legal claims.
Business and financial administration
Information connected with accepted work, invoices and payments is used to maintain accurate business and tax records. The lawful bases are performance of the service contract and compliance with legal obligations.
Website security and reliable operation
Limited technical information is used to keep the website available, prevent spam and abuse, diagnose failures and confirm whether an enquiry was delivered. The lawful basis is our legitimate interest in operating a secure and reliable business website while limiting the information recorded.

Who receives information

We share information only where this is needed to operate the website, deliver your communication, provide the requested service, obtain professional advice or comply with the law.

When you choose an external contact method, that service also processes the information under its own privacy terms.

Access within the business
Oleksandr Parukh handles enquiries and service records. Authorised technical administrators may access limited server information only when necessary to maintain or secure the website.
Service providers
A hosting provider in Germany processes limited technical connection data needed to deliver and secure the website. Hostinger transports website-form email and Google Gmail receives and stores business correspondence. Telephone, WhatsApp and Facebook process information when you choose those contact methods. Accountants, insurers, professional advisers or public authorities may receive relevant information where this is necessary or legally required.
International processing
The website server is in Germany, which is covered by UK adequacy regulations. Google, Hostinger, WhatsApp and Facebook may process information in other countries. Their published terms describe the safeguards they use for applicable transfers, including adequacy regulations, the UK Extension to the EU–US Data Privacy Framework and approved contractual transfer mechanisms.

How long information is kept

We keep personal information only for as long as it is needed for the purpose described below. We review the information we hold and delete or anonymise it when the retention period ends unless a legal obligation, dispute or claim requires it to be kept for longer.

Enquiries that do not become booked work
Enquiry correspondence is normally deleted 12 months after the last meaningful contact if no work is booked.
Booked and completed work
Service, quotation, invoice and payment records are normally kept for six years after the end of the relevant tax year so that we can meet tax and accounting obligations and deal with legal claims. They may be kept longer where HMRC, another legal obligation or an active dispute requires this.
Website logs and backups
Short technical records are overwritten through automatic log rotation and are not kept as a separate customer history. The website does not maintain a database or a separate backup of enquiry content. Email, WhatsApp and other communication providers may retain their own copies under their terms until they are deleted from the relevant account or their retention period expires.
Deletion responsibility
Oleksandr Parukh is responsible for reviewing and deleting business records. Information is also reviewed when a valid deletion request is received. Provider backup or residual copies may take additional time to disappear and remain protected until deletion completes.

Your rights and complaints

Depending on the circumstances, you may have rights to ask for access to your information, correction of inaccurate information, deletion, restriction, portability, or to object to certain uses. Where processing is based on consent, you may withdraw that consent. These rights are not absolute and a lawful exception may apply.

How to make a request
Email cotswoldpro01@gmail.com with “Privacy request” in the subject line. Include enough detail to identify the relevant information and the right you want to exercise. Identity evidence will be requested only where reasonably necessary. We will respond within the applicable legal timeframe and explain any lawful restriction or refusal.
How to complain

Website technologies

This website does not use analytics, advertising pixels, behavioural tracking, social widgets or embedded maps and videos.

Website images and fonts are served directly by the site. Contact links are ordinary links and do not send a message until you choose to continue in the relevant service.

The appearance selector offers System, Light and Dark themes. System follows your device setting without saving a website preference. If you choose Light or Dark, the website saves that single choice in first-party browser storage so it can use the same appearance on your next visit.

Cookies and browser storage
The website does not set browser cookies or use sessionStorage. It uses one localStorage entry named “cpc-theme” only when you explicitly choose Light or Dark. The value is not sent to Cotswold Property Care or a third party and is not used for analytics, advertising or profiling. Choose System in the Theme selector at any time to remove the saved entry and follow your device setting again.

We review this notice when the website, contact methods or use of personal information changes. Important changes will be published before the new use begins where required.
